The workflow

How it works, step by step.

    The file is shared

    Supervisor and trainee both work the assignment. Participation is recorded per file, with inspection and report participation tracked separately.

  2. 02
    The trainee works the order

    Field, comps, URAR drafting. Role permissions decide what each person can do — a trainee cannot approve their own work.

  3. 03
    The trainee logs hours

    By category — inspection, report, research, review, training — against the file and the date worked. Logging submits the entry to the supervisor's queue.

  4. 04
    The supervisor decides

    Each entry is approved or rejected with a required reason. Self-approval is blocked by database triggers, not just hidden in the UI.

  5. 05
    The transcript exports

    A date-ranged archive of approved hours: manifest, CSV, JSON, README. A generic transcript — not any state's official form.

Trainee role permissions

The participant role governs what each person can do. The engine refuses a transition a role cannot make.

Hours logging and approval

Trainee logs by category; supervisor approves or rejects with a required reason. Only approved hours reach the export.

Every trainee entry waiting on the supervisor collects in one queue, with Sign and Reject on the row.

Audit trail on decisions

Built for the supervisor first.

Most appraisal software assumes a solo appraiser, so the trainee/supervisor loop runs on email threads and shared folders. We built the recordkeeping half properly — the hours, the approvals, and a clean transcript of what happened. The judgment, the supervision, and the state paperwork remain the supervisor's.
