Privacy Policy
Your data belongs to you. Here's exactly what we collect, why, and how it's protected.
1. Information We Collect
We collect information you provide directly: name, email address, company information, and license details. We also collect appraisal data you input into the Service, including property details, comparable sales, and narrative content.
2. How We Use Your Information
Your information is used to provide and improve the Service, including AI-assisted features such as field card assembly, narrative generation, and comparable analysis. We do not sell your personal information to third parties.
3. AI Processing
Appraisal data you send to an AI feature is processed by Anthropic (assistant, narrative drafting, document extraction) and OpenAI (realtime voice and audio transcription). Data is sent to generate a response within the Service.
Customer content is not used to train models except as permitted by the applicable provider agreement and our configuration with that provider. Providers may retain data for a limited period for their own operational and abuse-monitoring purposes under their terms; we do not promise zero retention, because that is the provider's commitment to make and not ours to give on their behalf.
4. Data Storage
Your data is stored securely using Supabase (PostgreSQL) with row-level security policies. All data is encrypted in transit (TLS) and at rest.
5. Service Providers
We do not sell personal information. We do disclose it to the contracted service providers we need in order to operate the product, each under its own agreement and privacy policy:
Vercel — hosting and delivery of the application.
Supabase — database, authentication and file storage.
Anthropic — AI assistant, narrative drafting and document extraction.
OpenAI — realtime voice and audio transcription.
Resend — transactional email, including founding-cohort confirmation and notification messages.
Stripe — subscription billing and payment processing. We do not store card numbers.
Twilio — SMS notifications where you enable them.
Google Maps Platform — maps, geocoding and Street View imagery, where a key is configured for the deployment.
Sentry — error and performance monitoring.
ATTOM Data and other property-data providers — property records, where a key is configured for the deployment.
Which of these are active depends on the features you use and how the deployment is configured.
6. Data Retention
Your data is retained for as long as your account is active. You may request deletion of your account and all associated data at any time by contacting support.
7. Your Rights
You have the right to access, correct, or delete your personal data. You may export your appraisal data at any time using the built-in export features.
8. Founding-Cohort Applications
What we collect. If you apply for the founding cohort at /founding/apply we collect the name, email address, phone number and company you enter; the state(s) you are licensed in and your license number(s); whether you work solo or in a firm; your approximate reports per month; the report and order software you use today; the plan you are applying for; property types you handle; your UAD 3.6 experience; the mobile device you use in the field; your confirmation that you are willing to give feedback; your acknowledgment that AppraisalOS is in private beta together with the version of this policy you read and the time you acknowledged it; and any notes you choose to add.
Attribution. We record the path on our own site that you applied from, and the utm_source, utm_medium and utm_campaign values if a link carried them. We store only those three campaign keys and the pathname — never the full query string, and never other parameters your browser may have carried.
Why. To decide whether to invite you to the founding cohort, to contact you about that decision, and to understand which channels reach working appraisers. Applications are not sold or used for advertising; they are disclosed only to service providers needed to operate the application process and when legally required.
Email confirmation.We email a one-time link to confirm you own the address. We store only a hash of that link's token, never the token itself. An application enters the review queue only after you confirm.
Who can see it. Applications are platform-private. No AppraisalOS customer — including firm owners, managers, appraisers, reviewers, trainees and clients — can read them. Access is limited to AppraisalOS platform administrators.
How long we keep it. Unconfirmed applications are deleted within 30 days of submission. Declined and withdrawn applications are deleted within 12 months of the decision itself — not of the date you applied. Accepted applications are retained for the life of the resulting account and for 12 months after it closes, as the record of how the account began.
Deleting it. Email bill@appraisal-os.com from the address you applied with, or with enough detail to identify the application, and we will delete it and confirm within 30 days. You do not need an account to make that request, and withdrawing an application does not affect anything else.
